This notice explains how Watchmen Digital Consulting Ltd collects and uses personal information when you visit this website, contact us or use services made available through the site.

Watchmen Digital Consulting Ltd, trading as Watchmen Consulting, is the data controller. We are registered in England and Wales under company number 15395749. Our registered office is 128 City Road, London, EC1V 2NX.

For questions about this notice or how we use your information, email info@watchmenconsulting.co.uk.

Information we collect

We may collect the following information:

  • your name, email address, optional telephone number and the contents of your message when you use our Get in Touch form or contact us directly;
  • information you choose to provide in a conversation through the Voco chat service. Chat conversations are stored as logs and transcripts so that messages can be passed on and enquiries followed up;
  • information you provide when you call our main telephone number, which may be answered by Voco, our AI receptionist, such as your name, contact details and the content of your message or call-back request. Calls may be recorded and transcribed, so the content of the call, including any audio recording and transcript, is also collected; and
  • limited technical information generated when the site is used, such as IP address, browser and device details, requested pages, dates and times, and diagnostic or security records; and
  • information needed to manage a business relationship if an enquiry develops into an engagement.

How and why we use your information

We use personal information to:

  • respond to enquiries and arrange conversations;
  • take steps you request before entering into a contract;
  • manage our professional and business relationships;
  • operate, protect, troubleshoot and improve this website; and
  • meet legal, regulatory and record-keeping obligations.

Our lawful bases are taking steps at your request before entering into a contract, performing a contract, complying with legal obligations, and our legitimate interests in responding to enquiries, running our consultancy and keeping our website and systems secure. We do not use information submitted through this website for automated decision-making or profiling.

Who receives your information

We share information only where it is necessary for the purposes described above. This may include our authorised personnel and trusted providers supporting website and database hosting, security, technical monitoring and transactional email delivery. These providers process information for us under appropriate contractual obligations.

We use Voco to provide the chat facility on this website and the AI receptionist that may answer our main telephone number. Information entered into the chat, or provided during a call handled by the receptionist, is sent to Voco so those services can operate. Voco records and transcribes calls, and stores chat logs, transcripts, audio recordings and call data so that messages reach us and call-backs can be arranged. Those records are encrypted both in transit and at rest, and are stored in UK data centres. Voco handles the information under its own terms: see the Voco privacy policy. Pages containing embedded LinkedIn articles load content directly from LinkedIn. LinkedIn may receive technical information about your device and visit and will handle it under its own privacy terms. Simply following an external link also takes you to the other provider's website, where its own privacy notice applies.

We may also disclose information where required by law, to protect legal rights, or in connection with professional advice, a corporate transaction or the establishment, exercise or defence of legal claims.

How long we keep information

We normally retain website enquiry records for up to 24 months from our last meaningful contact with you. Call logs, call recordings, transcripts and chat transcripts held by Voco are kept for the same 24-month period. You can ask us at any time to delete call or chat data, or to provide you with a copy of it, by emailing info@watchmenconsulting.co.uk. If an enquiry develops into an engagement, relevant information may be retained for longer as part of the client record. We may also keep information for longer where necessary to meet a legal obligation, resolve a dispute or protect legal rights. Technical and security records are kept only for as long as reasonably needed for their operational purpose.

International transfers

Some service providers may process information outside the United Kingdom. Where a restricted transfer takes place, we require an appropriate legal safeguard, such as UK adequacy regulations or approved contractual protections, together with any additional measures required by data protection law.

Cookies and similar technologies

Cookies are small text files stored on your device. Similar technologies include local storage, pixels and scripts that store or access information on that device.

The site uses technologies needed to deliver, protect and maintain its pages and services. It also loads Google-hosted fonts and the Voco chat service. Embedded LinkedIn content is loaded on relevant article pages. Those providers may receive your IP address, browser information and other technical data, and may use their own cookies or similar technologies according to their settings and privacy terms.

Watchmen does not currently use Google Analytics or advertising cookies on this website. We use Google Search Console to monitor how the site appears in search results; this does not involve placing cookies on your device or tracking your browsing. You can inspect, block or delete cookies and site data using your browser settings. If you block third-party content, the Voco chat facility or embedded LinkedIn articles may not work as intended. You can still contact us by email or telephone and follow the direct link to an article on LinkedIn.

Keeping information secure

We use organisational and technical measures intended to protect personal information against accidental loss, misuse, unauthorised access, alteration and disclosure. Access is limited to people and providers who need the information for the purposes described in this notice.

Your rights

Depending on the circumstances, you may have the right to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, transfer of information, or to object to processing based on legitimate interests. Where processing relies on consent, you may withdraw that consent at any time without affecting earlier lawful processing.

To exercise a right, email info@watchmenconsulting.co.uk. We may need to confirm your identity before responding.

Complaints

Please contact us first if you have a concern so that we can try to resolve it. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection. Visit ico.org.uk/make-a-complaint.
